How To Receive Host Co Notifications In Slack

In today's fast-paced property management world, staying ahead means being promptly informed and responsive. That's why integrating The Host Co with your company's Slack channel via Zapier is a game-changer. It ensures that your team is instantly notified about guest interactions and operational updates. We’ll go over the steps to integrate your email provider with Zapier so they can send your emails right to your Slack channel, and you’ll never miss a service.


NOTE: As of now, Zapier's email integrations are limited to specific providers: Gmail, Outlook, Microsoft Office 365, and Zapier's own Email service. If you're using a different email provider, this particular integration may not be available.


Step-by-Step Integration Guide

1. Create a Zapier Account: If you don’t already have one, sign up for a Zapier account at zapier.com. It’s a powerful tool for connecting different apps to automate workflows.

2. Set Up Your Zap: Once logged in, click on 'Make a Zap.' Describe your desired workflow to the AI-assisted feature. Write something like, “Send an email notification to a Slack channel when I get a Gmail email, but only when it's from The Host Co or support@thehost.co,” and then edit the steps that come up after to input your specific log-ins:

3. Login To Your Trigger App - Gmail: Login to your email account for this next step, then test the trigger to make sure it is pulling emails from your account:

Always make sure to run a test of the trigger after connecting your account, to make sure it’s correctly pulling emails.

4. Add info to the “Filter by Zapier” step, so that only Host Co emails will be sent to your Slack channel. Set up the trigger so that the “From Email” field needs to contain “thehostco” in order to forward to your Slack channel, otherwise every email in your inbox will show up in Slack! It should look like this:

Don’t forget to test it out before continuing.

5. Connect Your Slack Account: As the final part of your Zap, give Zapier permission to access your Slack account.

6. Set Up Slack Action: The AI should have selected the correct action of “Send Channel Message”, so now we just need to make sure the message goes to the right place. Go to the “Action” field and select the Slack channel you’d like these message notifications to end up in. We recommend creating a new Slack channel just for these notifications, something like “Host Co Services.”

7. Customize Message Details: Customize the message that will be sent to Slack. Include details like the sender's email, subject line, and a snippet of the email body. We recommend setting it up like this:

There are several other fields underneath (including if you want to add a custom image to the bot sending these notifications) - you can decide whether or not you’d like to customize this further, but none of those options are functionally necessary.

8. Test Your Zap: Always test the Zap to ensure it's working as expected. Click “Test step:”

The message should appear in your Slack channel like this:

9. Turn On Your Zap: Once you're satisfied with the setup, click “Publish.”

Congratulations! You’re all set.

You’ll now receive channel notifications whenever a guest requests a service - or makes a purchase.
